Sharing & permissions

Updated

Your tables are private until you share them. You share through groups: put people in a group, then grant the group access to the tables you choose. Members inherit that access.

Create a group

  1. Open the account's settings — the ⚙ beside its name in the account menu (☰, at the top left) — then Groups and permissions.
  2. Create a group and add people to it.

Grant a table to a group

Give a group access to a table at one level. Every member of the group then has that access to the table — you manage it in one place, not person by person.

What each level can do

  • Viewer — read the records.
  • Editor — add and edit records.
  • Manager — also change the table's fields. Renaming, sharing, and deleting stay with the owner.

Who reaches a table

A table's settings have an Access page that lists who reaches it: whoever manages the account, who sees every one of its tables with no group needed; each group the table is shared with, at its level and with how many people are in it; the other tables with a field that points to it, whose editors search and see its records to pick one and whose readers see the ones picked; and how many of its records have a public link (below). It only shows access — you change it in Groups and permissions, and whoever manages the account can follow each group on the list to its card there. A table shared with no group says so: only whoever manages the account sees it.

Share a single record

To show somebody one record — not the whole table — create its public link from the Public link panel on the record's page (managers only). Anyone with the link sees that record read-only, no account needed. The details are in records.
